How to fill it in

  1. Give each invoice a unique number, the next one in your sequence.
  2. Add the date of issue and the date you supplied the goods or finished the work. From Revenue’s What is a VAT invoice?: a VAT invoice must issue within 15 days of the end of the month in which the goods or services are supplied.
  3. Put one item per line with its quantity, price before VAT, any discount and its VAT rate. In the Excel version, pick the rate from the list and the totals fill in.
  4. If the customer paid part in advance, enter it under Paid in advance, and see the pro forma invoice guide for the invoice Revenue asks for when a deposit arrives.

Not registered for VAT?

Revenue describes a VAT invoice as “a document issued by an accountable person”. If you are not registered for VAT, leave out the VAT number and the VAT lines. The VAT registration threshold guide explains when you must register, and the VAT rates guide covers which rate applies once you are.

Questions about the template

Is the invoice template free?

Yes. Download it in Word, Excel or PDF without signing up, and use it for as many invoices as you like.

Can a sole trader use it?

Yes. It suits a sole trader or a small business. If you are not registered for VAT, leave out the VAT number and the VAT lines.

Which VAT rate do I put on each line?

It depends on what you sell. The Irish VAT rates guide lists the 2026 rates and links to Revenue’s VAT rates database.

My customer pays a deposit first. What do I invoice?

Revenue asks for a VAT invoice for each payment received in advance, by the 15th day of the month after the payment arrives. The pro forma invoice guide works through an example.
