Prepare an export of your records for your accountant

Your accountant needs the figures for a period and, often, the records behind them. NumWise gives you both as files: each report exports on its own, and the whole record comes as one Excel workbook.

1. Bring the period up to date

Before you export, make sure the period is complete in NumWise:

  • the invoices for the period are issued, and the payments you received are recorded or matched from your bank statement;
  • the costs are in, with their receipts attached;
  • the bank statement for the period is imported and its lines are matched.

2. Choose the period

Open Reports. Each report has a period selector: This month, Last month, This quarter, Last quarter, This year, Last year, Last 12 months or Choose dates. Pick the dates your accountant asked for.

3. Export the reports

Open each report your accountant uses and choose Export Excel or Export CSV:

The VAT figures are drafts for your accountant to check. They check them and file the return on ROS.

4. Download every record as one workbook

The owner or an admin can download everything at once:

  1. Open Settings, Organisation.
  2. Under Your data, choose Export all data (Excel).
  3. Wait while it shows Preparing export.... The file name starts with numwise-data- and today's date.

The workbook has one sheet for each kind of record: customers, suppliers, invoices and their lines, payments, credit notes, expenses, bank transactions and recurring invoices. The data is as stored, so amounts are in cents (12345 means 123.45) and dates are written year-month-day.

5. Add the receipts they ask for

Receipt files are not part of the workbook. Open the expense and choose Download next to its document for each receipt your accountant wants to see.

Or give them their own login

On the Business and Professional plans, you can invite your accountant from Settings, Team with the Accountant role. They sign in with their own login, see the records and reports, and export what they need themselves.
